Privacy Policy

Rico Clinic (“we”, “us”, “our”) is a scalp micropigmentation and laser tattoo removal clinic located in Montréal, Québec. This policy explains what personal information we collect, why, what we do with it, and the rights you have over it under Québec’s Act respecting the protection of personal information in the private sector (as amended by Law 25) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

Person responsible for the protection of personal information

Under Law 25, every business must designate a person responsible for the protection of personal information. At Rico Clinic that person is:

Information we collect

Information you give us. Your name, email address, telephone number, and the content of any message you send us, when you book an appointment, request a consultation, submit a form or write to us.

Health-related information. To treat you safely we may ask about your skin, hair loss, previous treatments, allergies, medications and relevant medical conditions. Under Law 25 this is sensitive personal information. We collect it only where it is necessary to assess suitability and to perform your treatment safely, and we ask for your express consent before doing so.

Photographs. We may take photographs of the treatment area before, during and after treatment to plan your treatment and to record its progress. Photographs form part of your clinical record. We do not publish, share or use any photograph of you for marketing, on our website or on social media unless you have given us separate, specific and written consent for that use, and you may withdraw that consent at any time.

Booking and payment information. Appointments and payments are handled by Square. We receive your appointment details and a record of payment. We do not receive or store your full card number.

Website information. If, and only if, you accept cookies on our website, we collect analytics and advertising information about how the site is used. See Cookies and tracking below.

Why we collect it, and on what basis

We use your personal information to schedule and deliver your treatment, to assess whether a treatment is suitable and safe for you, to respond to your enquiries, to send you information about appointments you have booked, to take payment, to keep the records we are required to keep, and to improve our services.

We rely on your consent. For ordinary contact and appointment information, consent is given when you provide it for that purpose. For sensitive health information and for photographs used in any way beyond your own clinical record, we ask for express consent, separately and specifically.

We do not sell your personal information, and we do not use it for purposes you would not reasonably expect.

Cookies and tracking

Our website uses cookies and similar technologies for analytics and advertising, including Google Analytics, Google Tag Manager and the Meta (Facebook) pixel. These technologies can identify and profile visitors.

In accordance with Law 25, they are switched off by default. Nothing that identifies, locates or profiles you is loaded until you choose to accept it using the banner shown when you first visit. If you decline, those technologies are not loaded at all. If you accept and later change your mind, clearing your browser’s site data for ricoclinic.com will return you to the default, switched-off state.

Cookies that are strictly necessary for the website to function are not covered by that choice.

Automated processing

We may use automated tools to help us read and reply to routine enquiries — for example, questions about our opening hours, prices, parking or how to book. These tools answer only from information we have published ourselves.

Any message concerning your treatment, your health, your suitability for a procedure, or a complaint is read and answered by a person. No decision about your care, your suitability for treatment, or your relationship with the clinic is made by automated means.

Who we share it with

We share personal information only with service providers who need it to help us operate, and only for that purpose. These currently include Square (booking and payments), our website and email hosting provider, and — where you have consented to cookies — Google and Meta for website analytics and advertising.

Information held outside Québec. Some of these providers store or process information outside Québec, including in the United States. Information stored outside Québec may be subject to the laws of the country where it is held. We assess each such provider before entrusting personal information to them, as Law 25 requires, and we share only what is necessary.

How long we keep it

We keep your clinical record, including treatment notes and any clinical photographs, for as long as necessary to provide continuity of care and to meet our legal and professional record-keeping obligations. We keep enquiry correspondence for as long as needed to deal with your enquiry and any follow-up. When personal information is no longer needed for the purpose it was collected for, we destroy it or anonymise it.

If you would like to know how long a specific piece of information about you will be kept, ask us and we will tell you.

Your rights

Under Law 25 and PIPEDA you have the right to:

  • Access the personal information we hold about you, and be told what we do with it and who we share it with.
  • Correct information that is inaccurate, incomplete or ambiguous.
  • Withdraw your consent at any time. Withdrawing consent for marketing does not affect messages about an appointment you have booked. Withdrawing consent for treatment-related information may mean we can no longer treat you safely, and we will tell you if that is the case.
  • Portability — receive the computerised personal information you gave us in a structured, commonly used technological format, or ask us to send it to another organisation.
  • De-indexing and cessation of dissemination — ask us to stop disseminating your personal information, or to de-index any link that gives access to it, where the law allows.
  • Complain about how we handle your personal information.

To exercise any of these rights, contact Vladimir Popovici using the details above. We will respond within 30 days. There is no charge, and we will explain our reasons in writing if we cannot do what you have asked, along with how to seek a review.

Confidentiality incidents

We maintain a register of confidentiality incidents, as Law 25 requires. If an incident involving your personal information presents a risk of serious injury to you, we will notify you and the Commission d’accès à l’information promptly, and tell you what we are doing about it and what you can do to reduce the risk.

Commercial email

If we send you promotional email, it will identify us clearly and will always contain a working one-click unsubscribe link, as Canada’s anti-spam legislation requires. Unsubscribing from promotional email will never stop you receiving messages about an appointment you have booked, or aftercare information about a treatment you have had.

Security

We take reasonable measures to protect personal information against loss, theft and unauthorised access, use or disclosure, appropriate to how sensitive the information is. Access to clinical records and photographs is limited to those who need it to treat you.

Complaints

If you are not satisfied with how we have handled your personal information, please contact us first — we would rather put it right. You also have the right to complain to Québec’s privacy regulator:

Changes to this policy

If we change this policy we will update the date at the top of this page. Where a change materially affects how we use your personal information, we will tell you.
